1. Introduction
Rapid Medical Logistics, Inc. and its affiliates (collectively, “Rapid Medical,” “we,” “us,” or “our”) operate a mobile application (“App”) that supports the efficient and reliable transportation of medical specimens, pharmaceuticals, equipment, and other healthcare-related deliverables. This Mobile Privacy Policy (“Policy”) describes how we collect, use, share, retain, and protect personal information gathered through the App. By downloading, installing, or using the App, you consent to the practices described in this Policy.
2. Information We Collect
We collect the following categories of information through the App:
Precise Location Data. GPS coordinates collected from your device while the App is in use and, where you have granted background location permission, while the App is closed or running in the background.
Background Location Data. Continuous location tracking used to monitor active delivery routes and provide real-time ETA updates to dispatchers and healthcare facility partners.
Account Information. Name, email address, phone number, and credentials you provide during registration.
Parcel Photos. Images of packages captured for proof-of-pickup and proof-of-delivery documentation.
Selfie Check-In Photos. Facial photographs captured at shift start to verify driver identity and uniform compliance.
Device Information. Device manufacturer, model, operating system version, app version, and unique device identifiers.
Crash Logs and Performance Data. Diagnostic information including crash reports, app performance metrics, and error logs used to maintain and improve app stability.
3. How We Use Your Information
We use the information we collect for the following purposes:
Delivery Operations: To track active deliveries of specimens, pharmaceuticals, and medical equipment; to provide real-time ETA updates to dispatchers and healthcare partners; and to verify that drivers follow scheduled routes.
Identity & Compliance: To verify driver identity at shift start through selfie check-in; to confirm uniform and badge compliance; and to maintain chain-of-custody documentation through parcel photos.
Safety & Quality: To monitor route adherence for patient safety; to detect and respond to anomalies such as unexpected stops or route deviations; and to support incident investigation.
App Improvement: To diagnose and fix technical issues; to improve app performance and user experience; and to develop new features.
Legal & Regulatory Compliance: To comply with healthcare transportation regulations, client contractual requirements, and applicable law.
4. Location Data — Detailed Disclosure
Because location data is central to our service, we provide this expanded disclosure:
What We Collect: Precise GPS coordinates from your device.
When We Collect It: While the App is in use, and in the background when you are on an active delivery route and have granted background location permission.
Why We Collect It: (a) To maintain constant trackability of sensitive healthcare deliverables such as specimens, pharmaceuticals, and medical equipment traveling through our network; (b) to provide real-time ETA updates to dispatchers and healthcare facility partners; (c) to verify that drivers follow their scheduled routes and do not deviate; (d) to support route optimization and operational efficiency.
Who Receives It: Location data is shared with Rapid Medical dispatchers, authorized healthcare facility partners receiving deliveries, and service providers who operate our technology infrastructure. We do not sell location data to third parties.
How to Control It: You may disable location sharing at any time through your device’s Settings. Note that disabling location will prevent you from completing active deliveries through the App.
5. Camera and Photo Data
The App requests camera access for two purposes: (a) capturing parcel photos as proof-of-pickup and proof-of-delivery, and (b) capturing selfie check-in photos at shift start for identity verification and uniform compliance. Photos are uploaded to Rapid Medical’s secure servers and are not shared with third parties except as required for chain-of-custody documentation or legal compliance.
6. How We Share Your Information
We may share your personal information with the following categories of recipients:
Healthcare Partners: Hospitals, laboratories, and other healthcare facilities that are receiving deliveries, limited to information necessary to track and receive their shipments.
Service Providers: Technology vendors, cloud hosting providers, and analytics services that support our operations, bound by contractual obligations to protect your data.
Legal & Safety: Law enforcement, regulators, or other parties when required by law, to protect safety, or to enforce our agreements.
Corporate Transactions: In connection with a merger, acquisition, or sale of assets, your information may be transferred to the successor entity.
We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising.
7. Data Security
We implement industry-standard technical and organizational measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security assessments. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention and Deletion
This section addresses Google Play’s requirement that users understand how long their data is retained and how they can request deletion.
8.1 Retention Periods
We retain your personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law. The following summarizes our retention practices:
Account Information
Life of account + 90 days after deletion request
Service operation; post deletion processing window

Life of account + 3 years from collection, whichever is shorter

Where applicable law requires a longer or shorter retention period (for example, healthcare transportation recordkeeping requirements or tax obligations), we will retain data in accordance with that legal requirement.
8.2 How to Request Deletion of Your Data
You may request deletion of your personal information at any time through any of the following methods:
In-App: Navigate to Profile → Account Settings → Delete My Data.
Email: Send a request to privacy@gorapidmedical.com with the subject line “Data Deletion Request.”
Web Form: Submit a request at gorapidmedical.com/privacy/delete.
What happens when you request deletion:
We will verify your identity through a two-step verification process.
Upon verification, we will delete your personal information from our active systems within 30 days.
Backup copies may persist for up to an additional 60 days before permanent deletion.
Certain information may be retained beyond the deletion request where required by law, necessary for fraud prevention, or needed to resolve ongoing disputes. We will inform you if this applies to your request.
8.3 Account Deactivation vs. Deletion
If you stop using the App without requesting deletion, your account will remain in an inactive state. After 24 months of inactivity, we will send a notification to your registered email. If no action is taken within 30 days of that notification, we will initiate automatic deletion of your personal information, subject to the retention requirements described above.
9. Your Rights and Choices
Depending on your location, you may have rights under applicable data protection laws, including:
Right to Access: Request a copy of the personal information we hold about you.
Right to Correction: Request correction of inaccurate or incomplete information.
Right to Deletion: Request deletion of your personal information as described in Section 8.
Right to Opt Out: Opt out of the sale or sharing of your personal information (note: we do not sell personal information).
Right to Non-Discrimination: We will not discriminate against you for exercising any of these rights.

10. Children’s Privacy
The App is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us at privacy@gorapidmedical.com and we will delete it promptly.
11. Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will notify you through the App or by email to the address associated with your account. The “Last Updated” date at the top of this Policy reflects the most recent revision. Continued use of the App after notification constitutes acceptance of the updated Policy.
